Refund Policy

ConvertYourCalls is a B2B software-as-a-service platform. Due to the nature of AI processing and telecom infrastructure, our refund policy is strictly enforced.
Delivery of Service: The Service is considered 'delivered' and fully accessible to you once we send a confirmation email or call you stating that your AI Agent is configured and the assigned phone number(s) or integrations are active. Since the Service is provided as a managed solution without a client dashboard, the activation notification marks the commencement of the billing cycle and the completion of the setup process.
1. ONE-TIME SETUP FEE
Your initial payment includes a One-Time Setup Fee, which covers the engineering and configuration work required to custom-build and test your AI agent.
- Refundable: If you request a cancellation after the signup within two (2) business hours during our working hours AND our engineering team has not yet begun work on your account.
- Non-Refundable: Once our team has begun engineering work (typically within 2 business hours of signup), the Setup Fee is strictly non-refundable, as it represents compensation for labor already invested.
2. MONTHLY SUBSCRIPTION FEE
Monthly subscription fees grant you access to our platform and are billed in advance.
- Subscriptions are generally non-refundable once your AI agent has been deployed.
- Exception: You may request a full refund of your current month's subscription fee within seven (7) days of the charge ONLY IF zero (0) usage has occurred on your account during that billing cycle (0 AI Voice Minutes, 0 SMS, 0 active phone number rentals, and zero costs have been incurred for third-party processing or API services associated with your account. (e.g., Zapier, OpenAI, Claude, Google Gemini, Hostinger).
- If any usage has occurred, no partial or pro-rated refunds will be issued for that billing period.
3. TELECOM & THIRD-PARTY INFRASTRUCTURE COSTS
(STRICTLY NON-REFUNDABLE)
Because we pay third-party carriers and infrastructure providers (e.g., Telnyx, OpenAI, Zapier) in real-time on your behalf, the following usage-based costs are completely non-refundable once consumed:
- Inbound and outbound phone call minutes
- SMS / text message segments sent or received
- Dedicated phone number rental fees
- Additional server hosting or third-party integration costs
4. DAILY USAGE REPORTS
To ensure full billing transparency, you will receive an automated daily email report to the address provided at registration. Each report includes:
- Your consumed usage vs. your plan allowance (AI Voice Minutes and Text Messages used)
- Any additional usage charges incurred beyond your plan limits during the current billing period
These reports allow you to monitor your spending in real time and avoid unexpected charges.
5. CHARGEBACKS AND PAYMENT DISPUTES
We encourage you to contact us directly to resolve any billing issues. If you initiate a chargeback or payment dispute with your credit card issuer or bank without first attempting to resolve the issue with our support team, your account and all associated AI services will be immediately suspended. We reserve the right to dispute any chargebacks and recover any incurred administrative fees.
6. CANCELLATION POLICY
You may cancel your subscription at any time by emailing team@convertyourcalls.com.
- Cancellations take effect at the end of your current paid billing cycle.
- You will continue to have access to the Service until the end of the billing period.
- Downgrading or canceling will result in the immediate loss of custom integrations (CRM, Calendar). Re-enabling them later will require a new Setup Fee.
7. HOW TO REQUEST A REFUND
To request an eligible refund, email team@convertyourcalls.com with your account email and the reason for your request. Eligible refunds are processed within 3-5 business days and will be returned to the original payment method.
